Registration periods

Copenhagen 2009 World Outgames offers three registration periods – Early registration, Normal registration , and Late registration:

Early registration (Sports - Yoga Workshops - Culture - Conference - Visitor): 22 April 2008 - 30 September 2008

  • Guaranteed place in sports and/or conference
  • A discount on the regular registration fee for Sports, Yoga Workshops, Conference and Cultural Packages (Out in Choir Festival and Queer Tango Festival)

Normal registration (Sports - Yoga Workshops - Culture - Conference - Visitor): 1 October 2008 - 3 May 2009

  • Continued registration for all events

Late registration (Sports - Yoga Workshops - Culture - Conference - Visitor): 5 May - 1 July 2009 upon availability

  • Contined registration for different events for a shorter or longer period
  • Late fee for registration for some events



Registration fees and discounts

Copenhagen 2009 World Outgames offers a discount on early registration for sports, yoga workshops, conference and cultural packages (Queer Tango Festival, Out Choir Festival) as well as for students 26 and younger with valid Student ID*.

We also offer a discount on the registrations fee for participation in additional events once you have registered for either a sport, a yoga workshop, the conference or a cultural package.

* Only the International Student Identity Card (ISIC) is considered valid Student ID.

When you have registered for a sport you will recieve a discount of 1000 DKK when you register for the conference, and a discount of 500 DKK when you register for our cultural packages, Out in Leather and yoga workshops.

When you have registered for Out in Leather you are entitled to a discount ot 500 DKK when you register for the conference, the first sports registration, yoga workshops, as well as cultural packages.

When you have registered for the conference you are entitled to a 33.33 % discount on our cultural packages and a 66.67 % discount on the first sport.

* Visitors are not eligible to also register as participants and vice versa. You can only register as a participant in sport, a cultural package or the conference OR as a visitor, but not both.

Definitions of paying roles

Individuals wishing to participate in any of the following paying roles must register and pay online.

Participant in sport
A participant must pay the full registration fee applicable, according to the date of registration, and will receive the full benefits of registration.

Participants with specific needs or disabilities will be included wherever possible in sports. Sports with separate disability categories include Dancing and Running. Please read our Accessibility Policy for more information.

Participating coach/team-leader in sport
A participating coach/team-leader must pay the full registration fee applicable, according to the date of registration, and will receive the full benefits of registration.

This category is for coaches/team-leaders who participate as athletes in the event. All team sports (e.g. Softball) may take advantage of this. A participating coach/team-leader will be included in the team member count and in the participant count for a sport.

Non-participating coach/team-leader in sport
A non-participating coach/team-leader must pay the full registration fee applicable, according to the date of registration, and will receive the full benefits of registration.

This category is for non-playing coaches/managers/team-leaders who do not participate as athletes in the event but want to receive the same benefits as their team or the athlete they coach. All sports may take advantage of this. A non-participating coach/team-leader will not be included in the participant count for a sport.

Participant in a yoga workshop
A participant in a yoga workshop must pay the full registration fee applicable, according to the date of registration, and will receive the full benefits of registration.

Participant in a cultural package – Queer Tango Festival, Out Choir Festival and Out in Leather
A participant in a cultural package – Queer Tango Festival, Out Choir Festival as well as Out in Leather – must pay the full registration fee applicable, according to the date of registration, and will receive the full benefits of registration.

Participants with specific needs or disabilities will be included wherever possible in cultural activities. Please read our Accessibility Policy for more information.

Conductor of a choir
A conductor of a choir must pay the full registration fee applicable according to the date of registration, and will receive the full benefits of registration.

This category is only for conductors of a choir participating in the Choir Competition in the Out Choir Festival. A conductor will be included in the participant count for the Out Choir Festival and receive the same benefits as their choir.

If 10 members or more of the same choir are registered as participants in the Out Choir Festival, the choir is entitled to bring one conductor who does not have to pay the registration fee. To benefit from this you should send an e-mail to documenting which 10 members of the choir (or more) are already registered for the Out Choir Festival. You will then get an e-mail back with a link to use for the registration of a free conductor.

Conference participant
A conference participant pays the full registration fee applicable, according to the date of registration, and will receive the full benefits of registration.

Lunch is included in the fee for the duration of the conference.

Visitors
A visitor can be a friend, family member or partner of a participant in sports, the conference or a cultural package. A visitor must pay the full visitor fee.

This category is for non-participating visitors who want to receive most of the benefits valid for participants.
Visitors will have limited access to the competition areas and/or cultural activity sites, according to rules set by the Sport Manager of each sport or Cultural Coordinator of each event.

Copenhagen 2009 World Outgames reserves the right to limit the number of visitors permitted to register.

Visitors are not eligible to also register as participants and vice versa. You can only register as a participant OR as a visitor but not both.



Entitlements

As a paying participant in sports, yoga workshops, the conference, or a cultural package you are entitled to reduced fees for participation in other programs and packages (e.g. another sport, or cultural package) as well as special discounts on our many cultural and social events, our workshops and merchandise.

And the price does not just cover the cost for your participation in your chosen event(s) but your participation in the entire nine day World Outgames program which includes*:

  • The Opening Ceremony at the Copenhagen town hall and citywide after parties
  • World Outgames Village
  • Open air performances throughout the city
  • The Closing Ceremony at the historic Tivoli gardens
  • Cultural and social events – and at least one free of charge

Not to mention that as a participant in World Outgames 2009 you get*:

  • A participation souvenir
  • A transport pass
  • Access to selected sports events
  • A participant Goody Bag
  • Access to hosted/budget housing
  • Access to hosted dinners

As a visitor you are entitled to special discounts on our many cultural and social events, our workshops and merchandise.

And the price covers your participation in the entire nine day World Outgames program which includes*:

  • The Opening Ceremony at the Copenhagen town hall and citywide after parties
  • World Outgames Village
  • Open air performances throughout the city
  • The Closing Ceremony at the historic Tivoli gardens
  • Cultural and social events – and at least one free of charge

Not to mention that as a visitor for World Outgames 2009 you get*:

Definitions of non-paying roles

Individuals wishing to participate in any of the following roles do not pay registration fees and should register separately:

Accredited media
We welcome the media to this event. We offer many benefits for accredited media. There will be a media and information centre that will have information about when and where particular teams are playing or artists performing. You will get easy access to results as well as access to competition areas and a range of ticketed events. You will also get access to computers and the internet.

Volunteers
Volunteering gives expression to the GLISA's values of Participation and celebration, Respect and fairness, Innovation, Diversity and Empowerment (PRIDE). It is also a great way to meet people, support the event, and be a part of the world's greatest celebration of gay, lesbian, bisexual and transgender pride.

Official (referee, umpire, judge)
This category is for qualified referees, timekeepers, umpires, judges etc. Qualified officials do not pay registration fees.
While most officials will be sourced locally in Denmark, we welcome the participation of suitably qualified officials from other countries.

NOTE: The Organising Committee reserves the right to validate the credentials of individuals who wish to register as officials.



Special registration issues

Gender Identity Policy
From the 2004 Olympic Games in Athens the International Olympic Committee (IOC) has admitted participation of athletes who have undergone sex reassignment.

The new rules will be applied within the sporting community as a whole. Copenhagen 2009 World Outgames would like to ensure that individuals who have undergone sex reassignment and wish to register for sporting activities receive the information they need and are evaluated by competent authorities on the subject.

Anti-Doping Policy
Copenhagen 2009 World Outgames condemns doping practices and the use of banned substances to enhance performance in sport. Doping practices and the use of banned performance-enhancing substances are contrary to fair play, are potentially harmful to the health of athletes, and in some cases, the use of such substances is illegal.

Participants registering for the Copenhagen 2009 World Outgames must agree to abide by the rules and regulations as determined by the governing bodies for the Copenhagen 2009 World Outgames sports in which they are registered. In the registration process and at accreditation time for the Copenhagen games, athletes agree to, and sign a set of Terms & Conditions for participating in the games. These cover the athlete's role and responsibilities as a participant at Copenhagen 2009 World Outgames.

Accessibility Policy
The purpose of this policy is to serve as a guide for Copenhagen 2009 World Outgames to ensure that people with specific needs and disabilities are included in all areas of the preparation and staging of sporting and cultural events. Participants with disabilities will be included wherever possible in most sports and cultural activities. Sports with separate disability categories will include Dancing and Running.

Registration for Copenhagen 2009 World Outgames

Registration for Copenhagen 2009 World Outgames requires you to create a user profile consisting of a username which is your email address and a password you select. You use this to log in to your user account.

Before you are able to register for any sport, cultural package etc. you have to create your personal profile containing your personal data. You can make changes to your personal profile except for your name, birthday and gender.

Registration for sports
When you have created your personal profile you can register for a sport. There are 38 sports offered at Copenhagen 2009 World Outgames. We offer individual sports, individual sports with partners, or teams and team sports.

Once you have registered for a sport it shows up on your registration overview. Until you have completed payment, you can delete your registration for a particular sport.

After you have paid you will still be able to log into your registration and change your personal choices (level, team etc.).

Individual sports
Registration for individual sports only requires you to choose the sport, discipline, role (participant, non-participating coach/team-leader), level, age group etc. Some sports (e.g. climbing and golf) also require you to fill in additional personal information regarding your performance.

Most sports also require you to supply information on whether you are a member of a sports club/sports team. In some sports you are not allowed to register, if you are not a member of a sports club/sports team.

Individual sports in Copenhagen 2009 World Outgames are:

Individual sports with partners or teams
Registration for individual sports with partners or teams requires you to choose the sport, discipline, role (participant, non-participating coach/team-leader), level, age group etc. Some sports (e.g. Track & Field and Swimming) also require you to fill in additional personal information regarding your performance while others require information about your equipment (Canoe & Kayak).

Most sports also require you to supply information on whether you are a member of a sports club/sports team. In some sports you are not allowed to register, if you are not a member of a sports club/sports team.

During registration you will have to register or join a double/couple/pair/team (e.g. a dance partner in Dancing). When you register a double/couple/pair/team you can send out emails to those you want to join your double/couple/pair/team. They will use this information to join your double/couple/pair/team.

You can also join the open list if you have no partner as of yet. You will always be able to change your choice of double/couple/pair/team later by logging in to your registration.

Individual sports with partners or teams in Copenhagen 2009 World Outgames are:

Team sports
Registration for team sports requires you to choose the sport, discipline, role (participant, participating coach/team-leader, non-participating coach/team-leader), level, age group etc.

Most sports also require you to supply information on whether you are a member of a sports club/sports team. In some sports you are not allowed to register, if you are not a member of a sports club/sports team.

During the registration you will have to register or join a team. When you register a team you can send out emails to those you want to join your team. They will use this information to join your team.

Registration for yoga workshops

Registration for a yoga workshop requires you to choose the workshop and your role (Participant).

Queer Tango Festival
If you sign up for the Queer Tango Festival, you will have to register or join a couple. When you register a couple you can send an email to the person you want to join your couple. He or she can use this information to join your couple.

You can also join the open list if you have no partner as of yet. You will always be able to change your choice later by logging in to your registration.

Out Choir Festival
You can sign up for the Out Choir Festival as part of an existing, participating choir or you can just sign up and participate in one or two of our festival choirs.

When you sign up as part of an existing, participating choir you will have to register or join this choir. When you register a choir you can send out emails to the choir members. They can use this information to join your choir.

If you only want to participate in a festival choir you have to chose a minimum of one and a maximum of two festival choirs.

Registration for the conference
When you have created your personal profile you can register for the conference. Registration for the conference requires you to choose the conference. Once you have registered for the conference it shows up on your registration overview.

Until you have completed payment, you can delete your registration. After you have paid you will still be able to log in to your registration and change your personal choices.

When registering for the conference before 1 October 2008 we suggest that you look at our call for workshop proposals for the conference. We welcome all workshop proposals.

From February 2009 you will be asked to choose up to six workshops when you register. People who have registered for the conference earlier, will be able to log in and make this choice.



Payment

Payment has to be made within 4 hours of registration. After 4 hours any registration not paid will be deleted.

Payment is possible via credit card (secure line), or by direct bank transfer.

Age requirement

Individuals must be 18 years of age or older as of 25 July 2009 to register and participate in Copenhagen 2009 World Outgames.



Outreach program

Copenhagen 2009 World Outgames will be providing full and part bursaries to participants from our Outreach communities, as described in our Outreach program.
